Party Policies

For a party / birthday party :: Two teaching artists will arrive half an hour before your party to set up two creating stations (you will have a menu of station options to choose from prior to the party date) to create a fun atmosphere for your guests to enter. The teaching artists will also design one customized process-based art project for your child related to your child’s interests. If you have specific ideas or theme in mind, please let us know a minimum of two weeks ahead of the party and we will do our best to accommodate. 

Upon requesting a party date, we will personally email you to secure the date and time with your family and our teaching artists. You will be sent an invitation from the lead teaching artist for the party to schedule a phone call or email to plan your child’s customized process-based art project as well as the menu of creating stations to choose from for your child’s party start. The lead teaching artist will also send a follow up email to your initial conversation, as well as one check-in email a few days leading up to your party.

We will plan on having enough materials based on the headcount you give us. Please let us know your final headcount one week in advance so we can be sure we have materials for each child.

Notes on customized project :: our artists are happy to design your project fully or design your project based on a theme/your child's interests. Example themes chosen by families in the past include: Color Party, Transportation, Animals, Pink, Outer Space, Watercolor, and Postcards. We provide materials but if you're desiring a more in-depth project material-wise, artists will communicate what we can provide and a pairing of your materials and ours can be an option. 

You are welcome to bring any food/drinks and decorations that you like (we have a large cooler - please let us know if you’d like to use it). Please note that The Painted Cloud is a nut-free space.

The Painted Cloud has an assortment of tablecloths and a happy birthday banner. You are welcome to use what we have. If you have something specific in mind for the tables or decor, be sure to bring these items with you. You are welcome to bring decorations to set up 30 minutes prior to the start of the party. Please allot 5 minutes prior to your party start to meet with teaching artists and view TPC studio rules. Please allot 30 minutes following the party end time for clean up of food trash, games, and decorations (see PAYMENT and FEES below).

We have a speaker for music. If you would like to bring a playlist on your phone, please do!

DRESS

  • While we do provide smocks, art projects can be messy!  Some materials we use (i.e. fabric paints) do not wash out of clothing. Please dress your child in clothes that are okay to get stained.

  • When the weather is nice we can open access to the back deck - please provide your child with appropriate outdoor wear.

SAFETY

  • Parents are responsible for the supervision of the children during the party. The teaching artists are there to facilitate the activities.

  • INSIDE
    • Square footage = 450
    • Capacity = 45 people
  • OUTSIDE
    • Square footage = 280
    • Capacity = 30 people

PAYMENT

  • Parties at The Painted Cloud start at $400 for a 2 hour party for 10 children (plus half an hour for setup and half an hour for cleanup).

    • A $200 deposit is required to secure your party date. The deposit is non-refundable, and will be put toward the final balance.

    • Additional children = $10 per child (maximum headcount is 20 children)

    • Additional time for party = $50 per each additional half hour

    • The remaining amount owed will be paid at upon true departure / after cleanup is complete.

FEES

  • There is a $40 fee for all returned checks.

  • You are responsible for cleanup of food trash, games and decorations. If you would like teaching artists to clean up food trash and decorations after the party, a $50 cleaning fee will be added to final bill per half an hour of cleanup and for a half hour minimum. If you would like to forgo this fee, you are welcome to allot 30 minutes following the party for cleaning up decorations and food trash.

  • If guests remain past the agreed upon end time of the party, the rental automatically enters the additional time pay structure of $100 per additional hour. This pay structure functions in 15 min increments ie the first 15 minutes later than planned = $25, etc. This fee increases compensation for teaching artists staying late.

CANCELLATIONS AND REFUNDS

  • The $200 deposit is non-refundable.

  • Parties cancelled one week or more in advance of the party will incur no more costs.

  • Parties cancelled within one week of the party will be charged in full. This cost covers planning fees and the teaching artists’ fees.

YOUR CHILD

  • Please let us know of any special issues, allergies or events in your child's life that will help us to better understand, teach, and care for your child.

FOOD / DRINK

  • The Painted Cloud does not have a kitchen or a refrigerator (we have a large cooler). Please plan accordingly.

  • You are welcome to bring any food/drinks. Please note that The Painted Cloud is a nut-free space.

HEALTH

  • Children must be kept home to rest when they present any of the following symptoms:

    • ever: 100°F or higher (a child needs to be fever free - without the aid of Tylenol or other fever reducers for a minimum of 24 hours before returning to The Painted Cloud).

    • Diarrhea or Vomiting: 2 or more times in a 24 hour period. Please do not bring your child if they have vomited in the night.

    • Breathing trouble, sore throat, swollen glands, loss of voice, hacking or continuous coughing.

    • Frequent scratching of body or scalp, lice, rash, etc.

    • Child is irritable, continuously crying, or requires more attention than we can provide without hurting the health, safety or well-being of the other children in The Painted Cloud studio.
